I have a recurring reminder in Outlook to remind me to run the report. I run a report on the first weekday of every month by "expiration date" which details upcoming renewals. Since we charge those remote locations for their software licenses, this database is also my invoicing system. I built an Access database to track all of the software I've purchased for this building as well as remote locations. Other tools for this specific purpose already exist at the Enterprise level, but I don't have knowledge of those tools so I can't make a recommendation. If you're a SMB IT shop looking for a relatively low budget tool, MindManager might fit the bill. MindManager obviously wasn't created for this specific purpose, but I find it to be a useful tool for tracking and planning many other things as well. For example, if one renewal is contingent on another, you could link them. You can create Links between tasks to represent relationships (i.e.If you need to track more details, you can embed rich text notes, hyperlinks, and even attach files such as Excel, Word, and PDF documents within MindManager files. Therefore, you could attach electronic copies of receipts in one place in case you ever needed to demonstrate proof of purchase (e.g.This might be handy for quickly reviewing recurring costs to determine if you have opportunities to trim back on software your organization no longer uses or to consolidate specific recurring software purchases. You can attach a dollar figure to each task (representing the expected renewal cost) and have your licensing costs roll up by Category.vendor, software type, cloud subscriptions, etc.).
